If these terms can be approved, please confirm this agreement in Venjue within 8 days and the prepayment must be paid into our account no later than 14 days from the date, as we may otherwise book the room for someone else.

Cancellation

Cancellation from +6 months before the date of the event is paid 25%. (Prepayment)
Cancellations made between 1 and 6 months before the date of the event will incur a charge of 50%.
Cancellations made between 0 and 30 days before the date of the event will incur a charge of 100%.
Should Herthadalen be prevented from holding the event, you will of course receive the full prepayment back.

Before the event
In order for us to help ensure that your event is as successful as possible, we will contact you; otherwise, please contact us approximately 2 months before the event, where we will discuss the menu and wines, the schedule, as well as the table setting, place cards, and decorations, etc. – See also our Festbud.
If you need recommendations for any photographers, music, transportation, accommodation, etc., please find our ‘Festbud’ under the ‘Files’ section directly in your booking.

Newsletter
Upon entering into an agreement to hold an event at Herthadalen, consent is given to receive Herthadalen's newsletter via e-mail. The newsletter may contain information about upcoming events, special experiences, news and inspiration from Herthadalen. The newsletter can be unsubscribed from at any time by using the unsubscribe link in the sent e-mails.

OM BOOKING

The arrangement can be rescheduled, to a new date up to +6 months before the event takes place. The prepayment will of course be carried forward, but a fee of DKK 5,000 will be charged to market and book the empty venue and the administration involved. Only one reschedule is allowed with this fee, and otherwise the cancellation fee will apply. In case of Force Majeure such as the Covid situation, there will of course be no charge, only a request that we can find a new date together.

Children

Children aged 1 to 12 years are charged at a 30% % discount. There is no envelope price for children aged 0 to 1 year, and special children's menus can of course be arranged if desired.

Subject to

Until 7 days before the event, we reserve the right to amend the delivery of the agreed menu, as we source many of our ingredients from small local producers. This is in case of failure to obtain ingredients, adverse weather conditions, or unacceptable quality. Furthermore, changes in wine vintages may occur. If the agreed item cannot be delivered, an alternative will be offered through other suppliers/vintages.

REPLACEMENT/

The guest is responsible for any costs incurred due to damage to fixtures or stolen items.

Confetti

Confetti is festive – but it’s a lot of work to clean up afterwards, especially if it gets wet – and animals outdoors aren’t too keen on it either. Therefore, we will have to charge a fee of DKK 2,500 if confetti is thrown. Applicable for outdoor and indoor events, respectively.

OVERTIME

If an event is extended beyond the agreed hours, there will be a charge of DKK 100 per hour, per person, including beverages. Minimum DKK 5,000 per hour.

PAYMENT

Following the event, we will send you an invoice for the outstanding amount, unless otherwise agreed.

Number of participants

Provided a minimum agreed number of participants, payment will always be made for this number of participants unless otherwise agreed in writing. The number of participants may be reduced by written notification to Herthadalen no later than 8 days before the event.
