Terms and Conditions

On this page, you will find the terms and conditions that form the framework for holding an event at Herthadalen. We believe in clear agreements, transparency, and integrity – also when it comes to the practical aspects. The terms are intended to create security for both you and us, so that the focus can be on the most important thing: the experience, presence, and time together in the forest. If you have any questions along the way, we are always available to talk.

CONFIRMATION/

If you are able to accept these terms, please confirm this agreement in Venjue within 8 days. The deposit must be paid into our account no later than 14 days from today’s date; otherwise, we may book the venue for another party. We reserve the right to adjust prices annually in line with changes in the cost of raw materials and operating costs – approximately 2–4% per year.

“IN SMALL PRINT”

Cancellation: The number of participants may be reduced by sending a written request to Herthadalen no later than 8 days before the event. Cancellation of the event will be invoiced at the following rates (% of the total booking).
Cancellations made 6 months or more before the date of the event will incur a charge of 25%.
Cancellations made between 1 and 6 months before the date of the event will incur a charge of 50%.
Cancellations made between 0 and 30 days before the date of the event will incur a charge of 100%.
Should Herthadalen be prevented from holding the event, you will of course receive the full prepayment back.

OM BOOKING

The event may be rebooked to a new date up to 6 months before the event takes place. The pre-payment will of course be carried forward, but a fee of DKK 5,000 will be invoiced to cover the marketing and booking of the vacant venue as well as the associated administration. Rebooking is only permitted once for this fee; otherwise, the cancellation fee will apply. In cases of Force Majeure, such as the Covid situation, no fee will be charged; we will simply aim to find a new date together.

Children

Children aged 1 to 12 receive a 30 % discount. No cover charge is applied for children aged 0 to 1. Special children’s menus can be arranged on request.

Subject to

Until 7 days before the event, we reserve the right to amend the delivery of the agreed menu, as we source many of our ingredients from small local producers. This is in case of failure to obtain ingredients, adverse weather conditions, or unacceptable quality. Furthermore, changes in wine vintages may occur. If the agreed item cannot be delivered, an alternative will be offered through other suppliers/vintages.

REPLACEMENT/

The guest is responsible for any costs incurred due to damage to fixtures or stolen items.

Confetti

Confetti is festive – but it’s a lot of work to clean up afterwards, especially if it gets wet – and animals outdoors aren’t too keen on it either. Therefore, we will have to charge a fee of DKK 2,500 if confetti is thrown. Applicable for outdoor and indoor events, respectively.

OVERTIME

If an event is extended beyond the agreed hours, there will be a charge of DKK 100 per hour, per person, including beverages. Minimum DKK 5,000 per hour.

PAYMENT

Following the event, we will send you an invoice for the outstanding amount, unless otherwise agreed.

Number of participants

Provided a minimum agreed number of participants, payment will always be made for this number of participants unless otherwise agreed in writing. The number of participants may be reduced by written notification to Herthadalen no later than 8 days before the event.
